Who we are

Phoenix Travel is the trading name of Phoenix Travel Contract Hire Ltd (company number 1697855), a private hire operator licensed by West Lindsey District Council under licence PO2602. We are the data controller for the information described here. Contact us at info@phoenix.taxi or 01427 802315.

What we collect

• Passengers: name, phone number, email, pickup and destination addresses, journey times, flight numbers and any notes you give us when booking.
• School and SEN transport: pupil name, school, home address, travel days, attendance marks and any care or medical needs supplied to us by the commissioning council.
• Drivers and staff: contact details, licence and DBS details, shift records, vehicle checks, hours worked and leave records.
• Driver app location: while a driver is signed on to a shift or working a run, the app sends the vehicle's GPS position to our dispatch office. Location is not collected when the driver is signed out.
• Technical data: basic device and usage information, and anonymised analytics on our public website.

Why we use it

To take and fulfil bookings, allocate drivers, run council school transport contracts, keep passengers informed by text, meet our licensing and safeguarding obligations, invoice accounts and councils, and keep our drivers and passengers safe. Our lawful bases are performance of a contract, legitimate interests in operating a safe transport service, and legal obligation. Marketing messages are only sent where you have asked for them.

Who we share it with

Only where necessary: the driver carrying out your journey, the local authority commissioning a school route, our text message provider for booking confirmations, our mapping provider for routing, and our software and hosting providers. We never sell personal data.

How long we keep it

Booking and journey records are kept for six years for accounting and insurance purposes. Pupil records are deleted or returned when a route ends, with a short recovery window. Driver location history is kept only as long as needed for operational review. Chat and support logs are kept for 30 days.

Your rights

You can ask us for a copy of your data, correct it, ask us to delete it, or object to how we use it. Email info@phoenix.taxi and we will respond within one month. You can also complain to the Information Commissioner's Office (ico.org.uk).

Children

We carry children under school transport contracts. Pupil information is provided by the commissioning council or the parent or carer, is visible only to the office and the allocated driver or passenger assistant, and is never used for marketing.
